We are Progreso AI Limited, trading as Lily. We build software that helps employers run fair and consistent hiring.

When you apply for a job through Lily, this notice explains what information we collect, why we use it, and what rights you have.

Who is Responsible for Your Data

  • The employer you apply to is the data controller for your job application. They decide why and how your data is used.

  • Lily acts as a processor for employers when we run the application process on their behalf.

  • For things Lily does in its own right – like checking our system is fair, or (if you agree) offering you other job opportunities – Lily is also a data controller.

  • Lily may also process your information to support pre-employment checks, including helping you complete checks in advance so you are ready to start work sooner.

The Information We Collect

When you apply through Lily, we may collect:

  • Basic details – your name, email, phone number.

  • Application answers – what you share when applying for a role.

  • Job details – the role you applied for and who the employer is.

  • Technical data – IP address, device, browser, and how you use Lily.

  • Identity verification details – such as identity documents and verification results, where needed for hiring.

  • Right-to-work details – where required for hiring.

  • DBS details – where required for hiring, including standard DBS and enhanced DBS checks.

  • Reference information – which may include:

    • the names and contact details of your referees;

    • details you provide about your relationship with the referee (e.g. employer, manager, colleague);

    • the reference responses we receive from your referees.

  • Demographic data (optional) – things like age group, gender, or ethnicity. This is only used to check our system is fair. Employers never see it during hiring.

Our Legal Reasons for Using Your Data

Under data protection law, we need a lawful reason to use your data. Ours are:

  • Contract – to process your job application with the employer.

  • Legitimate interests – to run and improve Lily, keep it secure, and monitor fairness (in a way that doesn’t override your rights).

  • Consent – for optional things, such as collecting demographic data or keeping you in our wider talent pool.

For certain pre-employment checks (such as right-to-work checks, identity verification, DBS checks and references), the lawful basis may also include supporting employers to meet their legal and safeguarding obligations.

How We Use Your Information

We use your information to:

  • Share your application with the employer you applied to.

  • Run a fair and consistent application process, which may include automated questions and scoring.

  • Improve Lily and regularly check it operates fairly and without bias.

  • Collect and review optional demographic data to monitor for bias.

  • If you agree, keep your details in our talent pool so we can match you with future opportunities.

  • Carry out or support pre-employment checks, which may include:

    • reference checks;

    • right-to-work checks;

    • identity verification;

    • DBS checks, including enhanced DBS checks.

Automated Scoring

Some employers using Lily choose to include automated questions or scoring as part of their hiring process.

  • What this means – Your responses may be compared against the requirements for the role and given a score to support consistent and structured hiring.

  • Limits of automation – Automated scores do not determine who is hired. Final decisions are always made by the employer.

  • Fairness safeguards – We regularly review and test Lily’s automated tools for bias and accuracy. Optional demographic data, if provided, helps us check that the system remains fair across different groups.

  • Your rights – You can:

    • request an explanation of the logic behind the scoring;

    • ask for human review of decisions that significantly affect you;

    • object to automated decision-making where you have legal grounds.

Automated Decisions

Sometimes Lily uses automated scoring to help employers treat all applicants in the same way.

  • Employers make the final hiring decisions.

  • You can always ask for a person to review any decision if you think it’s unfair.

How Long We Keep Your Information

  • We keep your data for 12 months after the end of the recruitment process, unless the employer needs to keep it longer (e.g. for legal reasons).

  • If you agree to join Lily’s wider talent pool, we will keep your data for up to 24 months, and review it regularly.

  • After that, we delete it or make it anonymous.

Your Rights

You have rights over your data. You can:

  • Ask for a copy of it.

  • Fix mistakes.

  • Ask us to delete it.

  • Ask us to limit how we use it.

  • Challenge an automated decision and request human review.

  • Ask for your data to be moved to you or another service.

  • Change your mind and withdraw consent.

You also have the right to complain to the UK regulator, the ICO: www.ico.org.uk.

How We Keep Your Information Safe

We use strong security measures, including encryption, access controls, and regular checks.

If your data is stored outside the UK/EEA (for example, with cloud providers in the US), we use legal safeguards such as Standard Contractual Clauses (SCCs) to protect it.
